VisiblioSearch and AI visibility

Visiblio / Privacy Policy

Privacy Policy

Visiblio is a small set of search visibility tools. This page explains what data the tools touch and what happens to it. Short version: most of what you do stays in your browser or passes through and is forgotten; information is kept on Visiblio's server only when you turn something on, or as part of team access; and nothing is sold or shared.

What Visiblio does

Visiblio helps SEO teams find pages to build or fix. The GSC New Page and Cannibalisation Analysis reads Google Search Console search data (searches, pages, clicks, impressions, positions) and compares it with your pages. The Competitor Sitemap Gap compares the public sitemaps of your site and your competitors. It can also show how often your own site appeared in Google for searches about each missing topic, and, where available, Google search volume estimates for those topics. The Technical Audit visits pages of a website you have in Search Console (its homepage versions, robots.txt and a sample of sitemap pages) and reports technical problems such as errors, redirects, noindex tags and missing titles. A whole-website audit only visits websites that Google lists in your Search Console account; a single-page audit can visit any public page for a signed-in person. It reads the same public information any visitor or search engine can see. A single-page audit also asks two public services about the page's domain: rdap.org (domain registration dates) and archive.org (whether a saved copy exists); only the domain or page address is sent. The PageSpeed test sends the page address to Google's PageSpeed Insights service. Audits you save, snapshots of audits (kept in your browser's own database so changes can be spotted), and Screaming Frog or Search Console files you open, stay on your own device.

Google user data we access

How the data is used

Only to show you the results you asked for on your screen and in the Excel or CSV file you download. We do not use it for advertising, profiling or training of any model, and we do not combine it with other data.

What is stored, and where

Weekly audits and the newer tools

Weekly Audits is the one place where a website address and results are stored on our side: when a signed-in team member saves a website, its address, the person's email and the last 8 weekly check results (status codes, titles, canonical and noindex facts of about 18 public pages, and the mobile speed score) are kept in Cloudflare storage until the person stops watching it, which deletes them. Scheduled checks only read public pages; no Google sign-in is used or stored for them. Page Optimizer, Performance Dashboard (which remembers your last website, dates and compare choice in your browser under visiblio.dashboard.v1) and Internal Linking read Search Console (read-only, as above) and a website's public pages in the browser session and keep nothing on a server. AI Search Visibility keeps the answers you paste, and your brand and competitor names, only in your browser (local storage keys visiblio.aivis.tracker.v1 and visiblio.aivis.names.v1); the optional short summary sends only measured facts to Cloudflare Workers AI, which does not use them to train models.

AI visibility test and Prompt Planner

Prompt Planner reads your Search Console searches (or a list you paste) in your browser only. If you press "Use these in AI Search Visibility", the chosen prompts are saved in this browser under visiblio.prompts.v1 and are never sent to Visiblio's servers. The AI visibility test sends each prompt to the assistants you choose: Google Gemini and Cloudflare Workers AI through this site's server, and ChatGPT or Claude only if you type your own API key, which is sent for that call, never saved and never logged. Answers and your last 30 run summaries stay in this browser (visiblio.aitest.history.v1). The question you ask is sent to the assistant company you chose, under their own terms.

Technical SEO Crawler remembers your last settings (addresses, user agent, limits and skip patterns) in this browser under visiblio.crawler.v1. The addresses you crawl are sent to Visiblio's server only to fetch them with the user agent you chose; the pages and results are not stored on the server. Clear your site data to remove the settings.

Brand settings and search volume. The brand words and patterns you set for a website are kept in this browser under visiblio.brand.v2. Search volumes looked up for the Performance Dashboard are kept for 30 days under visiblio.searchvol.v1 (with your country and language choice). Only the searches you ask about are sent to Visiblio's server, which asks Google Keyword Planner for their volume; nothing is stored on a server.

Team activity. While a signed-in team member has a Visiblio page open and visible, the page sends a small heartbeat about every 45 seconds: the tool and tab they are on and the kind of work the page asked the server to do (for example "Running a PageSpeed test"). The server keeps who is online in memory for a few minutes and the minutes spent per tool per day for 30 days, so the admins can see who uses what on the Team access page. It holds no addresses, searches, keywords or data people work with.

Topic Research: the keyword and country you type are sent through Visiblio's server to Google Keyword Planner (related searches and monthly volume) and, if you tick the option or press "Plan with AI" or "Find more pages", to Google Gemini (which may use Google Search) together with a short list of your own top searches, so it can suggest questions and a plan of pages. If you pick a website, your Search Console searches are read with your own connection and joined to the results in your browser. Nothing is stored on Visiblio's server: the research and the plan live in your browser tab until you close it. The "Plan AI prompts from these" button passes the list to the Prompt Planner through your browser's session storage only. Each AI call counts as one AI question of your plan.

AI Writer: the keywords, page type, tone and location you give, the outline you edit, and the text of each section are sent through Visiblio's server to Google Gemini (which may use Google Search to see the pages that rank for the keyword) to plan and write the article, and to review the draft if you ask. The articles are not stored on Visiblio's server: they live in your browser tab until you close it, so download what you want to keep. Do not type personal or confidential information. Google handles the request under its own terms. Each call counts as one AI question of your plan.

Keyword Clustering groups the keywords you paste or load in your browser; the list is not sent to Visiblio's server and is not stored. If you press "Add search volume", the keywords are sent through Visiblio's server to Google Keyword Planner for their volume (kept in your browser for 30 days, like the other volume lookups). If you press "Merge groups with Google results", the lead keyword of each group is sent through Visiblio's server to Google Gemini with Google Search to list the pages that rank; nothing is stored. Only the counts of these lookups are kept, as described under "Access levels, plans and monthly usage".

A website first. Every tool starts from a website, so a signed-in person is asked to add one (an address, with an optional name) before the tools open. It is saved as a project as described below. Connecting Search Console or Analytics is separate and optional. The Plan page and the small bar under each tool's heading show the person's plan and how much of each monthly allowance is left; they read the same counts described under "Access levels, plans and monthly usage" and store nothing more.

Sign-up and the welcome questions. When you sign in for the first time without being invited, Visiblio makes a free account for your Google email address. You are then asked whether you are an SEO professional or a company, and for a few details: for a company its website, name, industry, description, main goal, key services and audience; for an SEO professional their name or agency, how many websites they look after, their main focus and what they want help with. For a company website, Visiblio's server reads the public home page and asks an AI model (Google Gemini, or Cloudflare Workers AI as a backup) to suggest the answers, which you can change. The answers are kept on your account so the tools can be set up for you and so the site owner can see who is using Visiblio. A website you give there is also added as your first website (a project, as described below). You can ask the site owner to see or delete your answers and your account at any time.

Free plan limits, daily limits and asking for more. Free accounts have smaller monthly limits than invited team members (counted as described under "Access levels, plans and monthly usage"). To protect the shared Google and Cloudflare allowances, the server also keeps a count per day, across all free accounts, of the work that uses them (AI questions, PageSpeed tests, keyword lookups); it holds numbers only, and counts older than three days are deleted. If you press "Ask for more", your email, the plan you chose and your message are kept until the site owner dismisses the request, and are emailed to the site owner when email sending is set up.

Access levels, plans and monthly usage. For each signed-in team member the server keeps the settings an admin chose (access level, plan, any own limits, active or paused, a short admin note, who changed it and when) and a monthly count of the work that uses a Google or Cloudflare allowance (AI questions, PageSpeed tests, keyword lookups, Maps lookups, JavaScript renders). Counts are kept for about 13 months; removing someone from the team list removes their settings. No addresses, searches, keywords or results are stored here.

Projects (websites). When you add a website as a project, the server keeps its address or Search Console property, the name you gave it, your email as its owner, and the emails and roles (viewer, editor, manager) of the teammates you share it with, until you remove it. Your browser remembers which project you chose last and whether you folded the side menu (in this browser only). No Search Console data or Google sign-in is stored with a project.

Saved and scheduled audits. When a project audit runs, the server reads the website's public robots.txt, sitemap and pages (only that website, like any visitor) and keeps: the schedule you chose, a summary of each audit (score, counts, what changed; the last 24), the issue report of the last 3 audits (with up to 100 example addresses per issue), and the page table of the latest audit (address, status, title, description, headings, canonical, robots tags, word count, timings). Removing the project deletes all of it. The Website overview reads Search Console live with your own connection unless automatic tracking is on (below).

Automatic Search Console tracking (optional, per website). When a manager of a website turns it on, Visiblio keeps one lasting, read-only Search Console connection for that website: Google's refresh token, encrypted (AES-GCM) with a key only the server holds, plus the email of the Google account used. Every week the server reads and keeps daily totals (clicks, impressions, CTR, position) for 16 months and, per week, the top 500 searches, top 500 pages, devices and top 25 countries. Everyone in that website's project can see these numbers. Stop tracking deletes the connection and asks Google to revoke it; you can also delete the saved numbers.

Which Google account is connected. When you connect Search Console or Analytics, Visiblio also asks Google for that account's email, only to show it on the connection card (it can be a different account from the one you sign in with). It is kept in a cookie for the hour the connection lasts. Signing out of Visiblio ends these connections in that browser.

Change log. Changes made by admins and managers (people, plans, websites, sharing) are recorded with who made them and when, so admins can see what changed; the last 500 are kept.

Look, shortcuts and tips. Your day / night choice is kept in this browser under visiblio.theme.v1. The last few website and page addresses you typed into a tool are kept under visiblio.recent.v1 so they can be offered as one-tap chips (the Clear button removes them), and the first-time tips you dismissed are kept under visiblio.hints.v1, and a note that you already have a website is kept for the life of the tab under visiblio.hasproject.v1 so tools do not ask again. None of this is sent to Visiblio's server.

PageSpeed remembers the last address you tested and the device choice in this browser under visiblio.pagespeed.v1. The address is sent to Visiblio's server, which asks Google PageSpeed Insights to test it; the result is shown to you and is not stored on a server.

Search Trend Analysis reads your Search Console searches in your browser only. It remembers your last choices (website, dates, filters, country and language) under visiblio.trend.v1, and keeps the Google search volumes it looked up for 30 days under visiblio.trendtool.volume.v2 so the same searches are not asked twice. Both stay in this browser; clear your site data to remove them. The searches you look up are sent to Visiblio's server only to ask Google Keyword Planner for their volume, and are not stored there.

Page Optimizer and Content Brief (AI writing): when you press a button that writes with AI, the keywords you chose, the page type, location and tone, and the title, headings and text of the page address you give (read by Visiblio's server from the public page) are sent through Visiblio's server to Google Gemini, which may use Google Search to look at the pages ranking for the keyword. Competitor page addresses you type are read by Visiblio's server in the same way. Nothing of this is stored on Visiblio's server; Google handles the request under its own terms. Do not type personal or confidential information into these forms.

Index Checker, Log Analyser, Uptime Monitor, SERP Similarity: the Index Checker sends the addresses you list to Google (Search Console URL Inspection) and shows the answers on the page; nothing is stored on Visiblio's server. The Log Analyser reads your log file in your browser and never uploads it. The Uptime Monitor stores the page addresses you add, their names and the latest 240 check results (answer, speed) on Visiblio's server so it can check them on a schedule, and emails you through Gmail or Brevo; "Stop watching" deletes them. SERP Similarity sends your keywords through Visiblio's server to Google Gemini, which uses Google Search to list the pages that rank.

Page profile checks: to show when a website's security certificate expires, Visiblio's server asks the public Certificate Transparency log at crt.sh about the website's name (only the name, nothing about you). "Check sizes and formats" asks each image's own server for its size and type without downloading it. Nothing of either is stored.

Invitations: when an admin adds you to the team, or someone shares a website with you, Visiblio sends you one invitation email with their name and email address, your role and a link. If the site owner has connected a Gmail account for sending, the email is sent from it; otherwise, if email sending is set up, it goes through Brevo (an email service) under its privacy policy; otherwise the person inviting you sends it from their own email. Your address is not used for anything else.

Shared websites: when a website's owner turns on automatic tracking, its Search Console connection is stored encrypted on Visiblio's server so everyone the website is shared with can read that website's Search Console data in the tools. It reads only that one website, read-only, and Stop tracking deletes it.

GBP Store Finder and Store Optimiser read your store list (Excel or CSV) in your browser. The list, the results and your brand settings are kept in this browser only, under visiblio.gbp.project.v1; "Start again" removes them, and so does clearing your site data. When you press Find, the search phrase for one store (for example brand, mall and city) is sent through Visiblio's server to Google (Gemini with Google Maps) and the answer comes back; nothing is stored on the server. If you give a website page, Visiblio's server fetches that public page to read it, and does not keep it. Store lists contain business addresses, not customer data; do not upload anything else.

Shared Store Finder projects. If you press "Share with my team", the store list (every column in your file) and everyone's results are saved on Visiblio's server (a Cloudflare database for that project), so the teammates you choose, and nobody else, see the same data. A project is private: the list of shared projects shows each person only the ones they created or were added to, and the server refuses everyone else (other admins included). Each result shows the first name of the person who saved it. The shared project stays until someone presses "Delete for everyone" (the person who created it, or an admin). Which shared project you last opened is remembered in this browser under visiblio.gbp.team.v1. Nothing is shared unless you press the button. When automatic Google Maps lookup is unavailable, "Find" opens Google Maps searches in new browser tabs; nothing is sent to Visiblio for that.

Google Analytics channels. Which Analytics channels Visiblio includes (Organic Search by default) is remembered in this browser under visiblio.ga.channels.v1. The choice is sent with each Analytics request so Google returns only those channels; nothing is stored on a server.

Address suggestions

Website and page address boxes suggest the websites of your connected Search Console account and the addresses you typed before. The addresses you used are kept in this browser only (visiblio.urls.v1, the last 40) and are never sent to Visiblio's servers.

Team access list

The email addresses of people an admin has added from the Team access page, with who added them and when, are kept in Cloudflare storage until an admin removes them. They are used only to decide who may sign in.

Google's public update list

The Performance Dashboard shows Google ranking updates (core and spam updates). The site's server downloads Google's public Search Status Dashboard list (status.search.google.com) and keeps it for an hour. Nothing about you or your website is sent in that request. Your daily Search Console numbers are compared with the update dates in your browser.

Sharing

We do not sell, rent or share your data with anyone. Data goes only to Google (to fetch what you asked for) and, as hosting, through Cloudflare. Our use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.

Your choices

You can disconnect Search Console at any time with the Disconnect button, and you can remove Visiblio's access in your Google Account under Third-party access. Whatever you turned on can be turned off by you: Disconnect ends a Google connection, Stop tracking deletes the stored connection and revokes it at Google, removing a project deletes its audits and saved numbers, Stop watching deletes an uptime or weekly check, and Delete for everyone removes a shared store list. For anything else, or to have your team record and usage counts removed, ask the site owner (see below) and it will be deleted.

Children

Visiblio is a professional tool and is not directed at children.
